1Women Empowerment Track Lead

Location: Bay Area, California

Organization: OPEN Silicon Valley

As the Women Empowerment Lead for our Annual Forum conference takes place on November 9, 2024 at Santa Clara Convention Center, you will play a pivotal role in championing diversity and inclusion initiatives, specifically focused on empowering women entrepreneurs. You will collaborate closely with the organizing committee to imagine, design, recruit speakers and panelists, and execute three sessions on conference day within the theme of 'RAIse the Bar'. You can review recorded sessions from our annual dedicated Women Conference held on June 1, 2024.

Responsibilities:

  • Develop and implement a comprehensive plan to enhance the representation and participation of women entrepreneurs and leaders at the Annual Forum conference in Nov 9, 2024
  • Curate and oversee a series of panel discussions, workshops, and networking events that address challenges faced by women in entrepreneurship.
  • Collaborate with speakers and panelists to ensure diverse perspectives and experiences are highlighted during sessions.
  • Engage with local women-led businesses, organizations, and community groups to foster partnerships and promote the conference.
  • Serve as a spokesperson and advocate for women's empowerment initiatives within the conference and broader entrepreneurial community.
  • Provide mentorship and support to women attendees, facilitating connections and opportunities for growth.
  • Monitor and evaluate the impact of initiatives, collecting feedback to continuously improve future events.

Qualifications:

  • Experience in event planning or deep desire to learn, particularly within the context of promoting diversity and inclusion, preferably in entrepreneurship or related fields.

You will collaborate closely with the organizing committee to design and execute strategies that inspire and support youth participation in our conference activities.

Responsibilities:

  • Develop and implement initiatives to attract and engage young professionals, students, and young entrepreneurs at the conference.
  • Coordinate workshops, panels, and networking events that cater to the interests and needs of young professionals.
  • Collaborate with educational institutions, professional organizations, and community groups to promote the conference and encourage participation.
  • Identify and recruit dynamic speakers and mentors who can inspire and mentor young attendees.
  • Provide guidance and support to young professional participants, facilitating connections and opportunities for learning and growth.
  • Assist in the development of marketing materials and outreach campaigns targeted at young audiences.

You will own a room at the annual conference

Responsibilities:

  • Develop and implement a comprehensive plan to facilitate networking opportunities tailored specifically for young professional attendees.
  • Coordinate networking sessions, mixers, and social events that encourage interaction and relationship-building among young professionals and entrepreneurs.
  • Work closely with sponsors and partners to create sponsored networking activities that cater to the interests and career aspirations of youth participants.
  • Collaborate with speakers and mentors to organize meet-and-greet sessions, roundtable discussions, and mentorship opportunities.
  • Utilize digital platforms and technology to enhance networking capabilities and facilitate connections before, during, and after the conference.

4Conference Director and Experience

Location: Bay Area, CA

We are seeking a dynamic and experienced Conference Director to lead the planning, coordination, and execution of our prestigious OPEN Silicon Valley Annual Forum. As Conference Director, you will play a pivotal role in ensuring seamless operations, and delivering an exceptional experience for attendees, speakers, sponsors, and partners.

Responsibilities:

  • Strategic Planning and Execution: Develop and execute a comprehensive conference vision based on the theme, sessions and agenda led by conf track chairs.
  • Speaker Management: based on conference track chair selection with with speakers to ensure they have a world-class experience
  • Logistics and Operations: Oversee all logistical aspects of the event, including decor, banners placement, venue signs, crowd management, security
  • Sponsorship and Speaker lounge Experience. Manage experience of speakers, sponsors, exhibitors, and partners at the conference, ensuring deliverables are met and relationships are maintained.
  • Marketing and Promotion: Work closely with the marketing and registration team to develop venue graphics and banners and onsite materials
  • On-Site Management: Lead on-site execution, managing staff, volunteers, and contractors to ensure smooth operations and a positive attendee experience.
  • Post-Event Evaluation: Conduct post-event debriefs and analysis to assess success, gather feedback, and identify areas for improvement next year. Document process that you found missing

Qualifications:

  • Strong project management skills with the ability to manage multiple priorities and deadlines effectively.

2Head of Finance
As the Head of Sponsorship Finance, you'll play a crucial role in our CFO team, focusing on optimizing sponsorship revenue. Your core duties include overseeing financial reporting, ensuring timely revenue recognition, and crafting budget strategies. You'll collaborate closely with finance and sponsorship teams to analyze performance, generate key reports, and guide strategic decision-making, ensuring our financial health and growth.

Responsibilities:

  Oversee the invoicing and timely collection of sponsorship receivables.

   Conduct monthly updates for sponsorship accounts and collaborate with marketing to enhance sponsorship promotion.

● Establish and maintain precise financial records for sponsorship agreements.

  Implement process enhancements in sponsorship accounting/reporting and maintain clear financial procedures and documentation.

Qualification:

● Preferred degree in Finance or related field with at least 2 years in accounting or finance, with a preference for sponsorship accounting.

3Head of Accounting
As the Accounting Head, you will collaborate with our accounting firm overseeing all accounting functions of our organization. This position ensures accurate financial reporting, compliance with regulations, and robust financial planning. Ideal candidates will have a strong commitment to the non-profit sector, valuing transparency and accountability.

Responsibilities:

  Manage daily accounting operations: accounts payable/receivable, payroll, and bank reconciliations.

   Ensure accuracy and compliance in financial records and reporting.

● Manage tax filings, regulatory compliance, and grant funding requirements.

  Prepare financial statements on a monthly, quarterly, and annual basis.

Qualification:

● Bachelor’s degree in Accounting or related field with proficiency in accounting software and knowledge of non-profit accounting regulations.   

Note:  This role is designed to accommodate flexible volunteer hours, typically ranging from 3 to 4 hours per week.

4Registration Volunteer

Join OPEN Silicon Valley as a Registration Volunteer and contribute to creating a seamless experience for our guests. This flexible opportunity requires qualifications that include excellent communication skills, attention to detail, and a willingness to learn.

Responsibilities:

  • As a Registration Volunteer, you'll be responsible for assisting with the setup and organization of registration materials, managing registration types accurately, providing necessary support and guidance to attendees during the registration process, and promptly addressing any registration-related issues that may arise.
  • Your role includes efficiently operating badge printing equipment, ensuring badges are printed promptly, assisting guests with retrieving their printed badges and collaborating closely with the team to troubleshoot and resolve any printing issues to maintain a smooth registration process.
  • Welcoming guests with warmth and professionalism, you'll guide them upon their arrival, provide detailed information about the event schedule and venue layout, and offer assistance with any inquiries or concerns they may have, ensuring their experience is both informative and enjoyable.
  • Maintaining open and effective communication with the Registration Team, you'll stay informed about updates or changes, address attendee inquiries and concerns courteously, and promptly report any issues or challenges to the team for resolution, ensuring seamless coordination and execution of event logistics.

Note: Working hours are flexible, with concentrated effort required around the event date. Time Commitment is 2 hours/week for pre-event training. The next main event is scheduled for June 1, 2024, from 7 am to 4 pm.

5Head of Charter Members Community

As Head of Charter Members Community of our dynamic team, you will be instrumental in enhancing the overall experience and satisfaction of our charter members. This position is centered around fostering a vibrant, engaging community environment, directly contributing to the growth and success of OPEN SV.

  • Enhanced Communication and Engagement: Develop and implement a comprehensive communication strategy to keep charter members informed, engaged, and connected. This includes managing newsletters, updates, and announcements, and ensuring members are up-to-date on community news, events, and opportunities.
  • Personalized Member Relations: Serve as the primary point of contact for charter members, offering personalized support and building strong, meaningful relationships. Understand and address their needs and feedback, facilitating a positive and inclusive community experience.
  • Strategic Community Building: Organize and execute strategic initiatives to foster a sense of belonging and active participation among charter members. This involves coordinating networking events, interactive workshops, and member-exclusive programs that enhance the value of their membership.
  • Feedback Collection and Integration: Establish effective channels for collecting and analyzing member feedback. Use insights gained to continuously improve communication strategies, member benefits, and community engagement efforts, ensuring the charter members' experience is at the forefront of our priorities.
