2Head of Annual Forum Team

Are you passionate about knowledge exchange and community dialogue? Open Silicon Valley is seeking a volunteer Head for the Annual Forum. In this role, you will lead the planning and execution of an annual event that facilitates insightful discussions and promotes the organization's goals.

Responsibilities:

  Plan and coordinate the Annual Forum, bringing together thought leaders and experts.

  Collaborate with speakers and panelists to create a compelling and informative program.

  Utilize various platforms to promote the Annual Forum and attract participants.

  Evaluate and gather feedback to continuously improve the quality of the forum.

Note: This role is designed to accommodate flexible volunteer hours, typically ranging from 3 to 4 hours per week.

3Head of Social Media and Admin Team

As the Head of Social Media and Administration, enhance our online presence, manage social media platforms, and handle administrative tasks.

Responsibilities:

  Oversee all aspects of our social media presence across multiple platforms.

  Develop and implement content strategies for engagement and growth.

  Coordinate administrative tasks and report on social media performance.

  Analyze trends to adapt and improve our social media strategies, ensuring maximum engagement and reach.

4Head of Finance
As the Head of Sponsorship Finance, you'll play a crucial role in our CFO team, focusing on optimizing sponsorship revenue. Your core duties include overseeing financial reporting, ensuring timely revenue recognition, and crafting budget strategies. You'll collaborate closely with finance and sponsorship teams to analyze performance, generate key reports, and guide strategic decision-making, ensuring our financial health and growth.

Responsibilities:

  Oversee the invoicing and timely collection of sponsorship receivables.

   Conduct monthly updates for sponsorship accounts and collaborate with marketing to enhance sponsorship promotion.

● Establish and maintain precise financial records for sponsorship agreements.

  Implement process enhancements in sponsorship accounting/reporting and maintain clear financial procedures and documentation.

Qualification:

● Preferred degree in Finance or related field with at least 2 years in accounting or finance, with a preference for sponsorship accounting.

5Head of Accounting
As the Accounting Head, you will collaborate with our accounting firm overseeing all accounting functions of our organization. This position ensures accurate financial reporting, compliance with regulations, and robust financial planning. Ideal candidates will have a strong commitment to the non-profit sector, valuing transparency and accountability.

Responsibilities:

  Manage daily accounting operations: accounts payable/receivable, payroll, and bank reconciliations.

   Ensure accuracy and compliance in financial records and reporting.

● Manage tax filings, regulatory compliance, and grant funding requirements.

  Prepare financial statements on a monthly, quarterly, and annual basis.

Qualification:

● Bachelor’s degree in Accounting or related field with proficiency in accounting software and knowledge of non-profit accounting regulations.

6Marketing Team Women's Forum
Seeking a Marketing Head for the OPEN Women’s Forum to spearhead our strategic marketing, enhance visibility, and amplify impact. A strategist with a strong grounding in marketing, brand management, and team collaboration will thrive in this role. The ideal candidate will channel their marketing acumen into advancing our organizational mission.

Responsibilities:

   Devise marketing strategies in line with the Women's Forum's goals, emphasizing digital and traditional channels to expand reach.

   Maintain the Forum's brand consistency across all communications, leveraging partnerships for unified campaigns.

● Lead digital marketing efforts, including social media and email campaigns, to boost engagement and support.

   Manage budgets with a focus on cost-effectiveness, supporting the Forum's goals through innovative and strategic campaigns.

7College Intern Coordinator

Seeking a proactive and organized College Intern Coordinator to play a key role in our talent development initiatives. This position is responsible for bridging the gap between ambitious college students and potential internship opportunities within our organization and with our partner companies. The ideal candidate will possess excellent communication skills, a knack for database management, and a passion for helping students launch their careers through meaningful internship experiences.

Responsibilities:

  • Collaborate with college students to gather and organize their resumes into a centralized database, ensuring easy access and efficient management of student profiles for matching with internship opportunities.
  • Work closely with Community Managers (CMs) and hiring managers across various departments to identify internship requirements and match them with suitable candidates from the student database, facilitating a seamless internship placement process.
  • Develop and maintain strong relationships with educational institutions and student organizations to promote our internship program, increasing the pool of talented candidates and enhancing the program's visibility and appeal.
  • Monitor and evaluate the progress of internships, providing support and guidance to both students and supervisors to ensure a rewarding and productive experience for all parties involved.

8Head Event Management Team

Seeking a detail-oriented and experienced Team Lead Event Director to oversee the logistical aspects of our events, ensuring a seamless and memorable experience for all attendees. This role is pivotal in managing and coordinating the essential elements of event setup, including catering, seating arrangements, and audiovisual systems. The ideal candidate will possess strong leadership skills, a knack for problem-solving, and a proven ability to work effectively with vendors and team members to execute flawless events.

Responsibilities:

  • Lead the planning and execution of event logistics, including food and beverage arrangements, chair and table setups, and the coordination of audiovisual equipment, ensuring each event runs smoothly and meets our high standards of quality and guest satisfaction.
  • Collaborate with vendors and service providers to negotiate contracts, secure competitive pricing, and confirm details related to catering, equipment rental, and technical requirements, ensuring all aspects of the event are delivered as planned.
  • Coordinate closely with other team members involved in the event planning process, including marketing, guest relations, and security, to ensure cohesive team efforts and the successful execution of each event.
  • Oversee the setup and breakdown of events, managing timelines and staff assignments to ensure efficient operations, and address any issues that arise with agility and professionalism to maintain the event schedule and quality.

9Registration Volunteer

Join OPEN Silicon Valley as a Registration Volunteer and contribute to creating a seamless experience for our guests. This flexible opportunity requires qualifications that include excellent communication skills, attention to detail, and a willingness to learn.

Responsibilities:

  • As a Registration Volunteer, you'll be responsible for assisting with the setup and organization of registration materials, managing registration types accurately, providing necessary support and guidance to attendees during the registration process, and promptly addressing any registration-related issues that may arise.
  • Your role includes efficiently operating badge printing equipment, ensuring badges are printed promptly, assisting guests with retrieving their printed badges and collaborating closely with the team to troubleshoot and resolve any printing issues to maintain a smooth registration process.
  • Welcoming guests with warmth and professionalism, you'll guide them upon their arrival, provide detailed information about the event schedule and venue layout, and offer assistance with any inquiries or concerns they may have, ensuring their experience is both informative and enjoyable.
  • Maintaining open and effective communication with the Registration Team, you'll stay informed about updates or changes, address attendee inquiries and concerns courteously, and promptly report any issues or challenges to the team for resolution, ensuring seamless coordination and execution of event logistics.

Note: Working hours are flexible, with concentrated effort required around the event date. Time Commitment is 2 hours/week for pre-event training. The next main event is scheduled for June 1, 2024, from 7 am to 4 pm.

10Head of Charter Members Community

As Head of Charter Members Community of our dynamic team, you will be instrumental in enhancing the overall experience and satisfaction of our charter members. This position is centered around fostering a vibrant, engaging community environment, directly contributing to the growth and success of OPEN SV.

  • Enhanced Communication and Engagement: Develop and implement a comprehensive communication strategy to keep charter members informed, engaged, and connected. This includes managing newsletters, updates, and announcements, and ensuring members are up-to-date on community news, events, and opportunities.
  • Personalized Member Relations: Serve as the primary point of contact for charter members, offering personalized support and building strong, meaningful relationships. Understand and address their needs and feedback, facilitating a positive and inclusive community experience.
  • Strategic Community Building: Organize and execute strategic initiatives to foster a sense of belonging and active participation among charter members. This involves coordinating networking events, interactive workshops, and member-exclusive programs that enhance the value of their membership.
  • Feedback Collection and Integration: Establish effective channels for collecting and analyzing member feedback. Use insights gained to continuously improve communication strategies, member benefits, and community engagement efforts, ensuring the charter members' experience is at the forefront of our priorities.

11Chief Of Staff — PAID role

Job Purpose:

The Chief of Staff will play a critical role in managing the programs and projects of OPEN Silicon Valley and interface with its sister chapters based in the US, Pakistan, and other countries. The successful candidate will lead various OPEN Silicon Valley initiatives, work closely with the executive volunteer team, and be responsible for enhancing the executive team's effectiveness by providing information management support.

Key Responsibilities:

  1. Strategic Planning Support:
    • Assist the President and other executive team heads in developing organizational goals and strategic plans.
    • Facilitate alignment between various teams and ensure strategic initiatives are communicated effectively.
  2. Executive Support:
    • Act as a Liaison for the President during meetings and engagements. 
    • Prepare and edit correspondence, communications, presentations, and other documents on behalf of the President.
    • Manage the executive team schedule, ensuring that priorities are met, and logistics are handled efficiently by the chief of staff’s team.
    • Overseeing all marketing activities and providing support to the Marketing team.
  3. Project Management:
    • Oversee and coordinate major projects, events, or initiatives, ensuring timely completion and alignment with organization goals.
    • Provide oversight and guidance to projects of high importance.
  4. Operations Management:
    • Evaluate and enhance internal operations and policies.
    • Ensure all staff issues are addressed properly, efficiently, and judiciously, and keep track of progress until resolved.
    • Recruiting and managing paid 4x staff in Pakistan.
  5. Communication and Representation:
    • Serve as a liaison between staff, executives, senior leaders, and the President, communicating needs and concerns so they can be addressed.
    • Assist the executive team in communicating with Charter, Executive, and General Members.
  6. Reporting and Analysis:
    • Develop and oversee the systems for reporting and data management.
    • Create a weekly reporting mechanism for the executive management team, and prioritize follow-ups.
    • Provide regular reports to the President, and other Team Heads on relevant developments.

Qualifications & Skills:

  • Bachelor’s Degree.
  • Proven experience in a leadership role within a corporate setting.
  • Exceptional ability to communicate in written and verbal form.
  • Strong problem-solving skills and the ability to manage complex projects.
  • Ability to work independently and as part of a team.
  • Excellent time management and organizational abilities.

Experience:

  • NGO: 4- 5 years (Preferred)
  • Communications: 4- 5 years (Preferred)
  • Program Coordination: 4- 5 years (Preferred)

Reporting:

This is a paid position that reports directly to the President. This is a full-time, remote position based in Pakistan. 

Timing: Flexible - 8 hours, some day some night
